What we collect
When you make an enquiry
Our enquiry form asks for the information we need to give you a useful answer:
- Your name, and your company name if you give one
- Your email address and telephone number
- Which type of project you are enquiring about
- Details you choose to share about the project, which may include its location, budget or estimated build value, planning status, site ownership, timescales and any description you write
- Your preferred method of contact
Only your name is required, along with either an email address or a telephone number so that we can reply. Everything else is optional.
We also record which page you submitted the form from, and record an internal priority rating generated from your answers. That rating is only used to route your enquiry to the right person quickly.
When you simply visit
Our hosting provider keeps standard server logs, which include IP addresses, for security and to keep the site running. We do not use website analytics on this site, so we are not tracking or profiling visitors.
Why we use it, and our lawful basis
We use enquiry information to respond to you, to discuss your project, to prepare quotations and to carry out work if you go ahead.
Where you have asked us about a project, our lawful basis is that processing is necessary to take steps at your request before entering into a contract. Where we keep records for our own business purposes, such as security, insurance or accounting, our lawful basis is our legitimate interests, or a legal obligation where one applies.
We do not send marketing emails, and we do not sell, rent or share your information with anyone for marketing purposes.
Who else sees your information
We keep the number of third parties to a minimum. Those involved are:
- Our website host. The site is hosted in the United Kingdom by 20i, who store the website and its database on our behalf.
- Our email provider. Enquiry notifications are sent by email, so your enquiry passes through our email provider and is stored in our mailbox.
- Google. Our enquiry form uses Google reCAPTCHA to prevent automated spam. Google receives technical information about your visit for that purpose, subject to Google’s privacy policy. We also load our fonts from Google Fonts, which means your IP address is visible to Google when the page loads.
We may also share information where we are required to by law, or where it is necessary to establish or defend a legal claim.
How long we keep it
Enquiries that do not lead to work are kept for 24 months and then deleted, so that we can pick up a conversation if you come back to us.
Where we carry out work for you, we keep project records for up to 6 years, because construction records may be needed for warranty, insurance, building control or legal reasons.
Your rights
Under UK data protection law you have the right to:
- Ask what personal information we hold about you and receive a copy
- Ask us to correct anything that is wrong
- Ask us to delete information, where we have no continuing reason to keep it
- Ask us to restrict how we use it, or object to our use of it
- Ask us to transfer it to you or another provider, where that applies
Email info@sampla-construction.co.uk and we will respond within one month.
If you are not happy with how we have handled your information you can complain to the Information Commissioner’s Office at ico.org.uk or on 0303 123 1113. We would rather you came to us first so we can put it right.
Keeping it safe
The site runs over an encrypted connection, and enquiry records are stored in a private area of the website that is not publicly accessible. Access is limited to the people who need it to respond to you.
No system is completely secure, so please do not send bank details, passwords or copies of identity documents through the enquiry form.
Cookies
Cookies are covered separately in our cookie policy.
